CITY COUNCIL MEETING COMMUNICATION
MEETING DATE: March 23, 2020
AGENDA ITEM:Consideration of approval of a resolution approving the purchasing of (9)
copiers and (3) multifunction printers.
FORMAT:Resolution
SYNOPSIS INCLUDING PRO & CON: This is a continuance of the printer and copier fleet
replacement schedule that was initiated back in October of 2019. Current
leased equipment will expire in May. IT has recommended procurement
of all print and copy fleet equipment from capital expenditure and this
purchase will replace the copiers that will be returned to the leaser.
FISCAL IMPACT INCLUDING COST/BENEFIT ANALYSIS:
The total purchase price will amount to $64,234.53.
The city currently leases equipment in the amount of $2423/month for
the last 5 years.
COMMISSION/BOARD/COMMITTEE COMMENT:
STAFF REVIEW AND COMMENT: City staff recommends approving the agreement.
RECOMMENDATION: Approve the resolution.

RESOLUTION 2020-
APPROVING THE PURCHASE OF NINE (9) COPIERS AND THREE (3)
MULTIFUNCTION PRINTERS
IN THE NAME AND BY THE AUTHORITY OF THE CITY OF WAUKEE, IOWA
WHEREAS, the City of Waukee, Iowa is a duly organized municipality within Dallas
County; AND,
WHEREAS, on October 14, 2019, the Waukee City Council approved an agreement
with Konica Minolta Business Solutions, USA, Inc., related to printer and copier fleet
replacement for the City of Waukee (Resolution #19-380); AND,
WHEREAS, in continuance of the fleet replacement that was initiated in 2019, the
Information Technology (IT) Department of the City of Waukee recommends approval
of the procurement of all print and copy fleet equipment to replace lease copiers and
multi-function printers.
NOW THEREFORE BE IT RESOLVED by the City of Waukee City Council in
session this 23rd day of March, 2020, hereby approves the purchase of nine (9) copiers
and three (3) multifunction printers.
BE IT FURTHER RESOLVED that the IT Department is directed to return all
relevant leased copiers and multi-function printers to the leaser.
