CITY COUNCIL MEETING COMMUNICATION
MEETING DATE: March 23, 2020
AGENDA ITEM:Consideration of approval of a resolution approving the contract for
maintenance and support of new purchased copiers and multifunction
printers.
FORMAT:Resolution
SYNOPSIS INCLUDING PRO & CON: This is a continuance of the printer and copier fleet
replacement schedule that was initiated back in October of 2019. The
maintenance agreement, through Konica Minolta (KM), will include all
supplies, maintenance, and support for all newly purchased copiers and
multifunction printers. This agreement will also merge and reconcile (3)
other existing agreements for already owned KM equipment for the
duration of 60 months.
FISCAL IMPACT INCLUDING COST/BENEFIT ANALYSIS:
The price for the Cost Per Page (CPP) agreement is: $491.11/month.
Inclusive of supplies, support, training, and maintenance. Monthly
volumes are set at 30,800 B/W copies and 10,100 Color copies. This
would be reconciled quarterly for any overages. Overages will be extra at
the rate of $0.00414 B/W and $0.036 Color per copy.
The city currently pays about $1515 in maintenance costs per month for
a majority of leased copiers and printers.

STAFF REVIEW AND COMMENT: City staff recommends approving the agreement.
RECOMMENDATION: Approve the resolution.

THE CITY OF WAUKEE, IOWA
RESOLUTION 2020-
APPROVING THE CONTRACT FOR MAINTENANCE AND SUPPORT OF
NEW PURCHASED COPIERS AND MULTIFUNCTION PRINTERS
IN THE NAME AND BY THE AUTHORITY OF THE CITY OF WAUKEE, IOWA
WHEREAS, the City of Waukee, Iowa is a duly organized municipality within Dallas
County; AND,
WHEREAS, on October 14, 2019, the Waukee City Council approved an agreement
with Konica Minolta Business Solutions, USA, Inc., related to printer and copier fleet
replacement for the City of Waukee (Resolution #19-380); AND,
WHEREAS, on March 23, 2020, and in continuance of the fleet replacement that was
initiated in 2019, the Waukee City Council approved agreements related to the purchase
of new and replacement printers and copiers (Resolution 2020-XXX, Resolution #2020-
XXX); AND,
WHEREAS, in tandem with the newly purchased copiers and printers, the Information
Technology (IT) Department of the City of Waukee recommends approval of a
maintenance agreement, with said agreement also merging and reconciling existing
agreements for Konica Minolta equipment.
NOW THEREFORE BE IT RESOLVED by the City of Waukee City Council in
session this 23rd day of March, 2020, hereby approves the contract for maintenance and
support of new purchased copiers and multifunction printers.
