CITY COUNCIL MEETING COMMUNICATION
MEETING DATE: March 23, 2020
AGENDA ITEM:Consideration of approval of a resolution approving the purchasing of (8)
printers and an agreement for maintenance and support of (8) newly
purchase printers and (1) existing printer.
FORMAT:Resolution
SYNOPSIS INCLUDING PRO & CON: This is a continuance of the printer and copier fleet
replacement schedule that was initiated back in October of 2019. One
agreement is to purchase (8) new printers to replace existing old and
leased printers.
The second agreement is to initiate a contract with Konica Minolta (KM)
to support, maintain, provide supplies and training for the (8) new
printers and (1) existing owned printer.
FISCAL IMPACT INCLUDING COST/BENEFIT ANALYSIS:
The cost of (8) KM-supported printer model is $5,291, less $195 for
shipping.
The cost for the Managed Print Service (MPS) agreement is $76/month
at a contracted volume of 2,000 B/W and 500 Color copies.
Reconciliation of overages will occur quarterly at a rate of $0.013 for
BW and $0.10 of Color per copy.
COMMISSION/BOARD/COMMITTEE COMMENT:
STAFF REVIEW AND COMMENT: City staff recommends approving the agreement.
RECOMMENDATION: Approve the resolution.

RESOLUTION 2020-
APPROVING THE PURCHASING OF EIGHT (8) PRINTERS AND AN
AGREEMENT FOR MAINTENANCE AND SUPPORT OF EIGHT (8) NEWLY
PURCHASE PRINTERS AND ONE (1) EXISTING PRINTER
IN THE NAME AND BY THE AUTHORITY OF THE CITY OF WAUKEE, IOWA
WHEREAS, the City of Waukee, Iowa is a duly organized municipality within Dallas
County; AND,
WHEREAS, on October 14, 2019, the Waukee City Council approved an agreement
with Konica Minolta Business Solutions, USA, Inc., related to printer and copier fleet
replacement for the City of Waukee (Resolution #19-380); AND,
WHEREAS, in continuance of the fleet replacement that was initiated in 2019, the
Information Technology (IT) Department of the City of Waukee recommends approval
of the purchase of additional printers to replace older and/or leased printers now in use
by the City.
NOW THEREFORE BE IT RESOLVED by the City of Waukee City Council in
session this 23rd day of March, 2020, hereby approves the purchase of eight (8) printers
and an agreement for maintenance and support of eight (8) newly purchase printers and
one (1) existing printer.
