Farnsworth Group has requested Amendment No. 1 in the amount of $23,413 which will increase the overall contract fee to $42,613 for the project. The scope has been modified to include an expansion to the existing data room which was not anticipated in the original scope. After further analysis with IT staff, the data room expansion was unavoidable and necessary to accommodate the additional workstations and the necessary networking abilities for each one. Further, the project scope was expanded to replace all the 2nd Floor light fixtures (excluding the mezzanines) with LED fixtures for consistency and improved energy efficiency. Per our discussion on February 2, 2022, the size, scope, complexity, and cost of the project is significantly different from what was assumed when we were initially hired to design this project in November of 2021. Our original design fee of $19,200, approved in the Agreement for Professional Consulting Services, was based on an Approximate Construction Cost of $240,000 to renovate 2,610 SF. The current Estimated Construction Cost is $487,735. The design now includes renovation of 3,350 SF, replacing all the existing 2nd Floor Light Fixtures (excluding the Mezzanines) to match the new fixtures, and the expansion of the Data Room. Since the cost of the construction increased, we propose using a sliding scale to calculate the percentage to determine our fee. In consideration of a portion of the work accomplished in 2017 for the expansion of the Data Room, we also reduced our fee by $3,000. February 8, 2022 Total Approximate Construction Cost $487,735 Fee Basis from RSMeans $250,000 $500,000 12.30% 9.20% as % as $ Proposed Fixed A/E Fee 9.35% $45,613 Reduction for 217021 WPW Data Room -$3,000 TOTAL A/E FEE $42,613 Waukee Public Works February 8, 2022 Page 2 of 2 Farnsworth Group estimated the Construction Cost at $487,735, in February of 2022. The new calculated design fee is proposed to be 9.35% of $487,735 = $45,613 - $3,000 = $42,613. Therefore, we request an increase in the design fee of $23,413 = $42,613 – $19,200. Through the development of the project, we consulted with you and together we concluded the project schedule should be revised from the schedule included in the Agreement, dated 11/01/2021 We request the following revisions to the original Agreement, dated 1st day of November 2021: 3. COMPENSATION: Revise paragraph to read as follows: A. In consideration of the professional services provided herein, the City agrees to pay the Consultant the following lump sum including any authorized reimbursable expenses, as set forth in Attachment 3. Lump Sum Architectural / Engineering Fee: $42,613 Reimbursable Expenses: $1,500 Total: $44,113 Revise Attachment 2 to read as follows: ATTACHMENT 2 PROJECT SCHEDULE The time of completion of the scope of services under this Agreement shall be as follows: Start Design Process: November 1, 2021 Project Bidding Documents Complete: February 7, 2022 Project Bid Date: March 10, 2022 Project construction Commences: March 2022 Project construction Completion: December 16, 2022 If you agree with the revisions noted above, then please have an authorized person sign on the line below.
