Agreement [Limble Solutions, Inc.]

SYNOPSIS INCLUDING PRO & CON:
The City of Waukee sought proposals for CMMS software to meet work order
and asset management needs for City facilities. The vendor selected for this
service is Limble.
FISCAL IMPACT INCLUDING COST/BENEFIT ANALYSIS:
The cost for the first year of service including startup costs services is
$828.00. The cost for additional years of service will be based on the number
of licenses required at that time.
COMMISSION/BOARD/COMMITTEE COMMENT:
STAFF REVIEW AND COMMENT:
Staff conducted a survey of neighboring communities regarding CMMS
systems utilized for work order and asset management. This survey resulted in
four options for facilities maintenance management’s needs. All potential
options were evaluated and scored. Features of importance included
availability of a mobile application, reporting flexibility, preventative
maintenance scheduling and management, availability of training, system
expandability, additional cost for implementation, the ability of the system to
accommodate sophisticated asset structures and overall cost of the solution.
Finally, Limble was evaluated by IT to ensure system operation and security
meets City expectations.
RECOMMENDATION: Staff recommends approval of the purchase and implementation of Limble.

APPROVING SOFTWARE SUBSCRIPTION AGREEMENT
[LIMBLE SOLUTIONS, INC.]
IN THE NAME AND BY THE AUTHORITY OF THE CITY OF WAUKEE, IOWA
WHEREAS, the City of Waukee, Iowa is a duly organized municipality within Dallas
County; AND,
WHEREAS, Waukee City staff solicited proposals for CMMS software to meet work
order and asset management needs for City facilities; AND,
WHEREAS, features of importance for the CMMS system included availability of a
mobile application, reporting flexibility, preventative maintenance scheduling and
management, availability of training, system expandability, additional cost for
implementation, the ability of the system to accommodate sophisticated asset structures
and overall cost of the solution; AND,
WHEREAS, a proposal from Limble Solutions, Inc., was evaluated by the IT
Department to ensure compatible system operations and security;
NOW THEREFORE BE IT RESOLVED by the City of Waukee City Council on this
5th day of August, 2024, that the CMMS Software Subscription Agreement with Limble
Solutions, Inc., is hereby approved.
