HomeMy WebLinkAbout2003-06-02-Ordinance 2412_Petty CashORDINANCE NO.2412 AN ORDINANCE TO AMEND CHAPTER 111,SECTION 111.4,WAUKEE MUNICIPAL CODE,PETTY CASH FUND,TO PROVIDE FOR:(1)AN INCREASED NUMBER OF PETTY CASH FUNDS;(2)THE MAXIMUM FUND AVAILABLE FOR DISBURSEMENT IN EACH PETTY CASH FUND;(3)LANGUAGE TO BE ADDED WHICH REFLECTS THE INCREASED NUMBER OF PETTY CASH FUNDS;(4) LANGUAGE TO BE ADDED wnrcn REFLECTS C RANGES IN PROCEDURE B Y DELETING "SECTION 111.4"AND BY INSERTING IN LIEU THEREOF,A NEW "SECTION 111.4" BE IT ORDAINED by the Council of the City of Waukee: Section 1.Chapter 111,Section 111.4,Petty Cash Fund,is amended by deleting Section 111.4 and inserting in lieu thereof Section 111.4 so that said Section reads as follows: Section 111.4 Petty Cash Fuuds Petty cash funds are located in four departments:Administration (City Hall),Library,Police and Public Works.The maximum fund available fOTdisbursements in each department is: Administration Library Police Public W orks $300.00 $250.00 $200.00 $200.00 Petty cash funds are to be used for payment of small claims for minor purchases,collect- on-delivery transportation charges,and small fees customarily paid at the time of rendering a service for which payments an authorized staff person shall obtain some form of receipt or invoice acknowledged as paid by the vendor or his agent.At such time as the petty c ash fund in each department is approaching depletion the finance officer or his/her designee submits the actual receipts or invoices for the month with account numbers c oded for each receipt or for each invoice.T he finance 0 fficer shall draw a warrant/check for replenishment in the amount of the accumulated expenditures and said warrant and supporting detail shall be submitted to the council as a claim in the usual manner fOTclaims and charged to the proper funds and accounts.It shall not be used for salary payments or other personal services or personal expenses. Section 2.Repealer.A II 0 rdinances 0 r p arts 0 f 0 rdinances inc onflict with the provisions of this ordinance are hereby repealed. Section 3.Severability Clause.If any section,provision or part of this ordinance shall be adjudged invalid or unconstitutional,such adjudication shall not affect the validity of the ordinance as a whole or any section,provision,or part thereof not adjudged invalid or unconstitutional. Section 4.Effective Date.This ordinance shall be in effect upon its final passage, approval and publication as provided by law.)
