HomeMy WebLinkAboutPR - P & R Administrative Assistant P & R Administrative Assistant Page 1 Council Approved 03-06-2015 Revised 5-2017,10-2021, 7-2023, 11-2023 City of Waukee JOB DESCRIPTION Job Title: Parks & Rec Administrative Assistant Reports to: Parks & Recreation Director Dept/Div: Parks & Recreation Direct Reports: None Pay Grade: N20 FLSA Status: Non-Exempt JOB PURPOSE: The Parks & Rec Administrative Assistant provides exceptional customer service to citizens via telephone or in person at the Parks & Recreation office. ESSENTIAL FUNCTIONS: (Order of Essential Functions does not indicate importance of functions.) 1. Screens and directs incoming telephone calls and walk-in visitors, answering questions in known subject matters, resolving minor customer complaints and forwarding other issues to appropriate staff member. 2. Performs clerical duties and projects as requested by the Parks & Recreation Director or his/her designee. 3. Provides forms, applications, brochures, pamphlets and related materials to the public as requested. 4. Assists with festival planning. 5. Coordination of park and recreational facility rentals. 6. Organizes and tracks accounts, bills and receipts including cash and deposits. 7. Assists recreation staff with organization of recreation programs. 8. Prepares park board packets and agendas. 9. Utilizes department recreation software. 10. Performs other duties or assumes other responsibilities as apparent or assigned. SUCCESS FACTORS: 1. Attentive to the City’s standards for customer service, accuracy, quality, efficiency and all City policies and procedures. 11. Good organizational and time management skills. 12. Exceptional customer service and communication skills in person and on the phone. QUALIFICATIONS: 1. High School diploma or GED. AA degree or technical training preferred. 2. A minimum of two years successful experience in related field. 3. Confident in the use of computers and tablets and able to be trained in software required to complete the functions of the position. Ability to sit for long periods of time and to maintain focus on project such as computer screen or detailed paperwork. 2. Able to effectively communicate orally (in person and over the telephone) and in writing (using electronic devices and handwritten) in English with other employees, vendors and the community. WORKING CONDITIONS: 1. Work hours will be 7:00 AM – 4:00 PM Monday through Friday. 2. Climate controlled office with hazards typical to that environment. 3. Occasional outdoor work may be required. 4. To successfully fulfill the essential functions of this position, employee must maintain standard work hours within the Parks & Recreation Office. 5.
