JOB DESCRIPTION
Job Title: Records Technician Reports to: Special Services Commander -
Dept/Div: Police/Administration Administration
Union Status: Represented – Teamsters Direct Reports: None
Non-represented – PT Records Technician FLSA Status: Non-Exempt
Grade: P-9
JOB PURPOSE: The Records Technician provides administrative, technical and clerical support for the
public and the Police Department staff including first line customer service and records
maintenance, report writing, policy development, planning, handling sensitive issues and
confidential information, accreditation standards, public fingerprints and clerical functions.
ESSENTIAL FUNCTIONS:
(Order of Essential Functions does not indicate importance of functions.)
1. Reviews, ensures accuracy and organizes for efficient retrieval of records and reports relating to arrests,
accidents, citations, stolen items, impounded vehicles, equipment, officer reports and related Uniform
Crime Reporting activities.
2. Obtains background information on complaints, inquiries or cases and refers to proper authority for
appropriate action.
3. Prepares and files County Attorney reports notarizing all citations and ensuring transfer to the Dallas
County Courthouse.
4. Ensures public information is available as requested and the release of such information complies with
local, state, and federal regulations.
5. Ensures all statistical reports are completed in a timely manner, including crime statistics and crime
mapping.
6. May be responsible for writing and maintaining current and future grants to obtain funding for police
programs.
7. Reviews and edits department policies and documents, maintains training records of sworn staff.
8. Obtains and maintains fingerprint technician certification and completes and maintains documents of all
public fingerprint requests.
9. Responsible for the department’s social media accounts and posting crime statistics to the city website.
10. Provides exceptional customer service to members of the public who telephone or enter the Public Safety
Building.
11. May serve as Terminal Agency coordinator for NCIC and UCR/NIBRS.
12. May serve as the RMS/TRAC’s and PowerDMS administrator.
13. May serve as a proctor for administering state police officer testing.
14. Works with command staff to accomplish CALEA needs and may represent the department as CALEA
Accreditation Manager.
15. Performs clerical duties as requested.
16. Performs other duties or assumes other responsibilities as apparent or assigned.

7. Demonstrate sound time-management skills by effectively or efficiently organizing, prioritizing, and
completing multiple assignments in a timely manner.
8. Work independently with limited supervision.
9. Contribute to overall City effectiveness by providing critical staff support to task forces and by participating,
as necessary, in assisting all other teams.
10. Excellent working knowledge of Police Department rules, regulations and procedures.
11. Safeguard confidential information and use it or disclose it only as expressly authorized or specifically
required in the course of performing specific job duties.
12. Represent the Department professionally and effectively to the community and Department members.
13. Attentive to City and Department standards for customer service, accuracy, quality, efficiency and all City
and Department policies and procedures ensuring that all work performed meets those standards.
QUALIFICATIONS:
1. High school diploma or GED required.
2. Associates Degree or certification in business, criminal justice or a related field plus one-year related work
experience. Equivalent work experience may be substituted in lieu of Associates degree.
3. Experience in law enforcement area preferred.
4. Certified or able to become certified to access the Iowa On-line Warrants and Articles Criminal Justice
Information Network and National Crime Information Center systems.
5. Maintain Notary Public certification.
6. Must be able to pass a comprehensive background check.
PHYSICAL REQUIREMENTS:
1. Able to function productively in a standard office environment accessing cabinets, shelving, work areas and
office equipment.
2. Able to sit for long periods of time and to maintain focus on project such as computer screen.
3. Able to lift, carry, push and pull up to 20 pounds occasionally.
4. Must be able to effectively communicate orally (in person and over the telephone) and in writing (using
electronic devices and handwritten) in English with other employees, businesses and community members.
WORKING CONDITIONS:
1. Climate controlled office with hazards typical to that environment; minimal outdoor work is required.
2. Standard work hours are Monday – Friday between 7:00 AM – 4:00 PM with additional evening and
weekend hours as required.
3. To successfully fulfill the essential functions of this position, employee must maintain standard work hours
within Waukee Public Safety Building.
4. There is no residency requirement for this position.
