HomeMy WebLinkAboutFinance - Acctg Clerk Accounting Clerk Page 1 Council Approved 06-13 Revised 02-17-16, 4-19-17, 10-2021, 7-2023 City of Waukee JOB DESCRIPTION Job Title: Accounting Clerk Reports to: Accounting Manager Dept/Div: Finance Direct Reports: None Pay Grade: N22 FLSA Status: Non-Exempt JOB PURPOSE: The Accounting Clerk supports the finance department by completing related tasks and specifically managing the accounts payable and accounts receivable functions of the department. ESSENTIAL FUNCTIONS: (Order of Essential Functions does not indicate importance of functions.) 1. Generates various Council reports including bill lists for Council approval. 2. Prepares monthly Treasurer’s Report for publication and department revenue and expenditure budget reports. 3. Verifies vendor invoices for accuracy, scans and enters into payables system; follows up with vendors and departments on discrepancies 4. Prepares checks and remittances, and ensures timely distribution of payments. 5. Administers electronic payment programs and purchasing card transactions statements. 6. Assists with the preparation of City records, schedules and work papers for annual audit and assists the auditors as needed. 7. Manages the accounts receivable system with all departments ensuring invoices are issued and collected and files liens as necessary. Processes monthly statements, and initiates collections procedures. 8. Prepares utility, building permit, accounts receivable, and miscellaneous deposits. 9. Processes online credit card transactions for parks & rec, pet licensing and police department programs. 10. Processes daily golf course deposits and transactions, tracking sales by category and taxable status and assists with establishing procedures for daily cash balancing. 11. Performs other duties or assumes other responsibilities as apparent or assigned. SUCCESS FACTORS: 1. Confident in the use of computers and tablets and able to be trained in finance software required to complete the functions of the position. 10. Ability to analyze accounts and transactions for discrepancies and effect on financial reports. 11. Ability to compile information and to prepare reports. Accounting Clerk Page 2 Council Approved 06-13 Revised 02-17-16, 4-19-17, 10-2021, 7-2023 QUALIFICATIONS: 1. Associate’s Degree in accounting, business or closely related field. 2. Two (2) years related work experience, or 3. Combination of three (3) years of education and/or relevant work experience. Municipal experience preferred. 4. Familiar with Generally Accepted Accounting Principles specifically as related to accounts payable and receivable. PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is regularly required to sit, stand and move about the office; use hands to finger, handle or feel objects, tools or controls; and reach with hands and arms. The employee is required to speak, hear and see in order to share information, receive instructions and complete tasks using a computer screen. The employee must occasionally lift and/or move up to 25 pounds. WORKING CONDITIONS: 1. Climate controlled office with hazards typical to that environment. 2. Standard work hours are Monday – Friday 8:00 AM – 5:00 PM with additional evening and weekend hours as required. 3. There is no residency requirement for this position.
