HomeMy WebLinkAboutLIB - Public Services Manager - Replaced with Assistant Director - Library Public Services Manager Page 1 Library Board Approved 5-16-2016 Revised 11-13-21, 10-2021, 4-2022, 7-2023 City of Waukee JOB DESCRIPTION Job Title: Public Services Manager Reports to: Library Director Department: Library Direct Reports: Public Services Assistants, Pay Grade: L36 occasionally other library staff FLSA Stats: Exempt JOB PURPOSE: The Public Services Manager supervises the Public Services staff and circulation activities. The PSM manages the day-to-day operations of the Public Services Desk ensuring consistency with library policies and procedures, responding to patron and library issues, and ensuring excellent customer service to library patrons. ESSENTIAL FUNCTIONS: (Order of Essential Functions does not indicate importance of functions.) 1. Manages the Public Services Department. Responsible for leading and directing activities of the Public Services staff according to standard library operating procedures and policies. 2. Serves on the Library Management Team. Administers department procedures and policies to implement library goals and objectives and meet the needs of library patrons. 3. Responsible for hiring, training, evaluating, and encouraging development of direct reports. 4. Develop and maintain effective training strategies and tools to ensure excellent customer service methods. 5. Develop and maintain effective lines of communication with direct reports and all other library staff to implement efficient library procedures and workflows. 6. Creates and maintains staff schedules for all library staff ensuring consistent coverage. 7. Responds to patron issues and communications, resolves issues according to library policies and procedures. 8. Coordinate training for library staff. 9. Performs all duties of Public Services Assistants as needed. 10. Performs other duties or assumes other responsibilities as apparent or assigned. SUCCESS FACTORS: 1. Maintains knowledge of current holdings and library resources, both print and electronic. 5. Continually seeks and participates in opportunities for continuing education and professional growth. 6. Improves the effectiveness and efficiency of all library operations with positive and creative approaches to challenges. 7. Working knowledge of electronic services, Internet tools, social media and library related technology and trends, and the ability to embrace the challenge of continuously learning new tools, software, and technology to meet typical library needs. 8. Demonstrated success in interpersonal and communication skills. 9. Comfortable working in close proximity to all age categories. Ability to conduct a reference interview and be able to answer reference questions with authority and tenacity to meet patron needs. 11. Demonstrates sound time-management skills by effectively and efficiently organizing, prioritizing, and completing multiple assignments in a timely manner. 12. Has a professional understanding of librarianship. 13. Understand and internalize the importance of seeking resolution to problems and concerns by bringing them to the direct attention of supervisor in a timely manner. 14. Be attentive to the City's and the Library's standards for customer service, accuracy, quality, efficiency and all City and Library policies and procedures. 15. Represents the City professionally and effectively to the community and library patrons. QUALIFICATIONS: 1. Bachelor’s degree in library science or a related field required, Master’s degree in Library and Information Science preferred. 2. Two years of library work experience with increasing responsibility. 3. Supervisory experience in a library or customer service environment. 4. Knowledge of library circulation procedures and practices. 5. Knowledge of customer service best practices. PHYSICAL REQUIREMENTS: 1. Required to move or lift up to 25 pounds and occasionally up to 35 pounds. 2. Ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork. 3. Be able to effectively communicate orally (in person and over the telephone) and in writing (using electronic and handwritten) in English with other employees, library patrons, and the community. 4. Access to transportation with insurance at required state levels to conduct business throughout the assigned area. WORKING CONDITIONS: 1. Climate-controlled office with hazards typical of that environment, minimal outdoor work is required. 2. Standard work hours may include evenings and weekends as needed. 3. To successfully fulfill the essential functions of this position, employee must maintain standard work hours within the Waukee Public Library building. 4. Must reside within a 30-minute response time to the library.
